If you answered yes, our Pinawa, Manitoba location is looking to fill the role of Administrative Assistant for the Hot Cells Refurbishment team. Reporting to the Project Manager, Hot Cell Refurbishment the Administrative Assistant will provide administrative support to multiple projects, including Hot Cell Refurbishment, Fuel Transfers, Standpipe & Bunkers Manual Retrieval and Trenches Project Teams, along with any additionally assigned project teams for the Waste Retrieval and Spent Fuel division. This dynamic role performs and manages a variety of sensitive and demanding administrative support duties to maintain an effective and efficient office operation. CNL Employees perform all duties in accordance with established health and safety and regulations/guidelines, policies and procedures (i.e. utilizing personal protective equipment as per safe work procedures). Notifies management or supervisor of all occurrences, injuries, illnesses or safety and health concerns which are likely to harm themselves, their co-workers or any other on the premises in a timely manner and in accordance with established reporting requirements.

Skills & Experience

  • Successful completion of secondary school (Grade 12) with two (2) to four (4) years of related experience or college diploma in a related discipline (e.g. Office Administration) and one year experience.
  • Good oral and written communication skills are essential for formal correspondences as well as to communicate effectively with all staff, levels of management, and external contractors.
  • Knowledge of administrative-based theories, concepts and principles to provide administrative support to the department manager and staff.
  • Ability to work independently in an environment of rapidly changing and conflicting priorities using prioritization and planning skills to meet established deadlines.
  • Proficient with web-based systems such as Oracle, and the ability to learn and adapt to CNL work related software (i.e. CNL Learning Management System).
  • Good interpersonal skills, along with efficient and effective communication and organization skills.

  • Ability to maintain and update databases, track and gather data, and compile reports.
  • Strong initiative, a drive to succeed, a positive attitude, organized, and consistent careful attention to details.
  • Punctual, dependable, and safety minded.
  • Able to work extended hours and off-normal work shifts to support training needs.
  • Ability to adapt to a changing environment and response with initiative.
  • Highly motivated and able to work with minimal supervision.

Responsibilities

  • Under the direction of the project managers, preparing and organizing a variety of material with minimal instruction and guidance.
  • Providing administrative information and assistance while meeting project objectives for the Whiteshell Laboratories Restoration Project (WLRP) site mission.
  • Providing administrative assistance for project operations including scheduling and coordinating training, booking rooms, taking notes at meetings, making catering arrangements, and maintaining good housekeeping to ensure a smooth workflow and safe working environment.
  • Assisting project managers to organize time and arranging/maintaining schedule of meetings, managing MS Outlook calendar, arranging travel, scheduling appointments, meetings, assisting in the preparation of presentation material and setting up meetings rooms, etc.
  • Acting as the first line contact for project related questions, obtaining and providing information to stakeholders within and outside the organizations ensuring timely and accurate response.
  • Act as liaison between project managers and direct reports in requesting and distributing information and assisting staff and others as required in the preparation of standard, high quality materials by composing routine correspondences, participating in the operation and management of a record keeping system (both electronic and hard-copy).
  • Maintaining adequate supplies of office materials by ordering stocks and purchasing other standard items as requested.
  • Preparing i-req’s for quotes and/or purchase orders.
  • Creating expense reports when requested and following up for staff members.
  • Communicating all training requirements to project team and ensuring all mandatory training is complete and up to date.
  • Participating in WLRP activities including United Way campaign and other site events throughout the year.
  • Handling all aspects of communications, i.e., responding to telephone inquiries, recording accurate messages, re-directing calls as appropriate.

  • Monitoring and coordinating employee training activities and records.
  • Working alongside Talent Acquisition Advisor creating and maintaining all hiring folders, booking interviews, and conducting reference checks upon request and assists with onboarding of new employees.
  • Maintaining confidentiality in all matters.
  • Providing back up for colleagues in similar administrative roles as required.
  • Participating and maintaining up-to-date, all safety and operational training offered through the company.
  • Sharing learned knowledge and skills with peers.
  • Assumes personal responsibility and is accountable for maintaining current skills by attending all training required by the site, viewing assigned videos, reading articles and participating in seminars as required.
  • Identifying and reporting any real or potential safety hazards; wearing all safety equipment related to your position as well as participating in all safety-training offered through the facility.
  • Consistently courteous, tactful, maintaining professionalism, seeking guidance as required, and maintaining a questioning attitude
  • Collaborating with other departments and other roles in the organization, as well as contractors.
  • Reporting all incidents, near misses and concerns in respect to the Whiteshell Reporting Program.
  • Be a sponsor for site visitors.
  • Completing other duties as assigned.
