If you answered yes, our Pinawa, Manitoba location is looking to fill the role of Administrative Assistant (AA). The Administrative Assistant is an important member of the team that directly supports the Whiteshell Laboratories Restoration Project (WLRP) General Manager (GM) office. This key position will provide essential support to the WL GM Office in the areas of office administration, site communications, meeting coordination and contractual tracking and reporting. The AA will ensure the effective and efficient administration and organization of a variety of complex and/or confidential materials with minimal instruction and guidance in order to meet WLRP and CNL’s business objectives.  The AA will have the ability to work well under pressure while effectively and successfully managing priorities to meet tight deadlines. Can you see yourself filling this role? Canadian Nuclear Laboratories (CNL) employees perform all duties in accordance with established health and safety and regulations/guidelines, policies and procedures (i.e. utilizing personal protective equipment as per safe work procedures). Notifies management or supervisor of all occurrences, injuries, illnesses or safety and health concerns which are likely to harm themselves, their co-workers or any other on the premises in a timely manner and in accordance with established reporting requirements.

Skills & Experience

  • Secondary school graduation plus post-secondary training in Office/Business Administration or similar field.
  • Minimum of seven (7) years’ experience in an administrative role, or equivalent.
  • Proficiency in MS Office with expertise in Microsoft Word, Excel, PowerPoint, Visio and Outlook.
  • Detail oriented and comfortable working in a fast-paced office environment.
  • Excellent written communication skills.
  • Superior organizational skills and dedication to completing projects in a timely manner with ability to multi-task and prioritize work.
  • Attention to detail and problem solving skills.
  • Capacity to work independently without supervision.
  • Must be “Team” oriented with demonstrated ability to work well with others and promote a positive work environment.
  • Demonstrated leadership skills with ability to train and develop others.
  • Demonstrated tact, diplomacy, trust, and discretion in handling of sensitive and confidential information.
  • Experience in, or willingness to be trained in the use of CNL business systems: ORACLE, ATOM, etc.
  • Knowledge of Quality Assurance (QA) Manual and Procedures.
  • Knowledge of radiation protection, environmental, QA and security compliance programs.

Responsibilities

  • Coordinating the workflow of department manager/line director.
  • Managing scheduling of meetings and appointments.
  • Coordinating meetings, such as booking rooms, sending invites, ordering catering.
  • Preparing correspondence, minutes, action lists; and prioritizing commitments.
  • Tracking and following-up on actions placed on GM office and other division staff.
  • Acting as liaison between GM office executives and Senior Leadership team and division staff.
  • Organizing events such as division seminars, workshops and international conferences.
  • Arranging/coordinating travel.
  • Maintaining accurate office records and files/follow-up system for outstanding issue.
  • Adhering to CNL’s corporate document standards and rules (formats, storage and numbering protocols).
  • Working with various groups both within and outside of the departments ensuring reporting requirements are met.
  • Communicating objectives, directives, policies/procedures, and general information to staff, and ensuring quality of cross-functional administrative processes.
  • Providing status updates and supporting documentation for various scorecard/project reporting.
  • Handling sensitive and confidential information pertaining to all levels of Departmental and/or Divisional staff.
  • Working with the GM office assisting in preparation of promotion cases.
  • Coordinating meetings and gathering data from managers for various HR processes, such as performance management cycle, and succession planning.
  • Assisting in the budget process (reporting forecasts, submissions to Finance).
  • Coordinating smaller scale business support projects or providing administrative support to larger projects.
  • Tracking and ordering supplies.
  • Photocopying/printing.
  • Submitting maintenance/IT requests.
  • Submitting expense reports
  • Maintaining confidentiality in all matters.
  • Performing other duties as assigned.
